Welcome to A.O. Fox Memorial Hospital. We, at Fox Hospital, are dedicated to meeting the healthcare needs of the people that we serve. We appreciate the interest that you have in providing products, services or equipment to our Hospital. We commit to providing quality patient care in a cost-effective manner. Your role, as Sales Representative, is to keep us informed and up to date with changes affecting current business. In order to discharge those responsibilities effectively, guidelines have been established for mutual understanding and accountability. By following our vendor guidelines you can help us to meet our commitment and allow us to provide you with an open and competitive opportunity.

General Guidelines:

Vendor Contact

The Materials Management Department (ground floor) is the initial point of contact for all sales persons. Unauthorized soliciting is strictly prohibited, as is direct contact with departmental staff without authorization from Materials Management.

Building Passes

In all cases – a prior appointment is necessary in consideration of time and attention – yours and ours. You may contact the Department, to obtain an appointment. You must have your appointment validated in Materials Management and obtain a Building Pass there – before proceeding to the Department. A Building Pass allows the representative to visit only the individual and Department named and is only valid for one day.

Representatives conducting inservices are restricted to the time, date and area stated on the pass. Representatives violating our established policies well be barred from future visits.

Catalogs & Price Lists

We need your help in keeping our Catalog File current and our prices accurate. You may leave your new catalogs, price lists and business cards with our Secretary/Buyer.

CELLULAR PHONES

May be used in only in our Skylight Dining Room on the ground floor of the hospital. No other wireless communication devices are allowed in the hospital.

Status of Open Orders

Please – routinely review the status of our open orders with your firm. There are pay telephones (in the lobby) for this purpose.

No merchandise may be shipped in, nor any service performed, without an authorized Purchase Order. The PO number must appear on all delivery slips and invoices. All orders are understood to be FOB Hospital unless agreed otherwise – in advance.

Compliance Program/Code of Conduct

A copy of the Code of Conduct has been sent to the corporate headquarters of our current vendors. This code outlines the various policies/procedures which exist as part of the FoxCare Network’s Compliance Program. If you have not read a copy of the Code of Conduct, please request one from Materials Management as you and your company must abide by these guidelines at all times.

In terms of gratuities, it is contrary to Hospital policy for employees to accept gratuities, premiums or incentives. We much prefer that incentives be expressed in terms of quality, service and price.

Group Purchasing

A.O. Fox Memorial Hospital’s Purchasing Department is committed to making Group Purchasing work and actively supports the Health Trust Purchasing Group contracts.

Fox is a member of the Group and our procurement practices are directed towards its goals – both in committed vendors and products. This commitment may disassociate our organization from your organization.

General Information

Weapons are not permitted on the premises.

We encourage your use of the Visitor’s Parking Lot and invite you to use our Cafeteria.
